Responsibilities
- Manage the CEO's calendar end-to-end — schedule, prioritise, and protect time by coordinating internal and external meetings, appointments, and travel arrangements with zero conflicts.
- Act as the first point of contact for the CEO's office — screen calls, emails, and correspondence, and ensure timely responses or escalations where needed.
- Prepare, proofread, and format professional documents including reports, proposals, letters, and internal communications on behalf of the CEO.
- Create polished, visually compelling PowerPoint presentations for board meetings, client pitches, and internal briefings — with accuracy, consistency, and strong design sensibility.
- Attend key meetings, record detailed and accurate minutes of meeting (MoM), and distribute them to relevant stakeholders in a timely manner.
- Own the follow-up process on all action items arising from meetings — track deadlines, chase pending deliverables from department heads, and report status back to the CEO proactively.
- Maintain a structured task management system for the CEO — log priorities, flag approaching deadlines, and provide daily briefings on pending matters.
- Coordinate and arrange internal and external meetings, including logistics such as venue booking, agenda preparation, attendee invites, and pre-meeting briefing packs.
- Handle sensitive and confidential information — including HR matters, financial data, and strategic plans — with absolute discretion and professionalism at all times.
- Liaise with department heads, vendors, clients, and external stakeholders on behalf of the CEO to ensure seamless communication and coordination.
- Manage travel arrangements including flight bookings, hotel reservations, visa processing, and detailed itinerary preparation for domestic and international trips.
- Maintain organised filing systems — both physical and digital — for contracts, correspondences, reports, and other critical documents with easy retrieval.
- Support the CEO in special projects and ad hoc research tasks — gather data, summarise findings, and present insights in a clear and structured format.
- Anticipate the CEO's needs before they arise — think two steps ahead, flag potential issues early, and keep the office running smoothly without constant direction.
Qualifications & Requirements
- Bachelor's degree in Business Administration, Management, or a related field
- 3–6 years of experience as an Executive or Personal Assistant, preferably supporting C-suite
- Advanced proficiency in Microsoft Office — Word, Excel, PowerPoint, and Outlook
- Exceptional written and verbal communication skills in English and Urdu
- Strong command of business writing, email etiquette, and professional correspondence
- Demonstrated ability to manage multiple priorities and meet tight deadlines
- High level of discretion, integrity, and emotional intelligence
- Meticulous attention to detail — errors and missed deadlines are simply not acceptable in this role
